RNW Media is an international digital media accelerator, working for impact. Our mission is to accelerate the impact of locally rooted civil society organisations and media outlets in their use of digital media to reach, engage and mobilize young people aged 15 to 35 on issues that matter to them like government accountability, gender equality or climate justice. We work with those who, like us, want to unleash the potential of next generations (millennials, Gen Z) in countries where freedom of expression and digital inclusion are under pressure. It is our goal to ensure that by 2030, through digital media, one billion young people can make informed decisions, advance their rights and positively affect society.

We are proud to have 75 years of experience in the media sector, over 50 years as a training centre and more than 10 years working on media for development. 

The purpose of the position

In this highly independent role, the Office Manager supports the CEO, the Leadership Team, Human Resources, the Supervisory Board and its relevant committees in a highly independent way. The Office Manager is responsible for initiating and executing internal communications and managing relevant office facilities including Information Technology and the RNW Media Central Library. The Office Manager is also responsible for developing intra-office communication protocols and streamlining administrative procedures in order to ensure organisational effectiveness, efficiency and safety.

The office manager reports to the CEO.

Your key responsibilities
  • Initiates and executes relevant activities to support the CEO, the Leadership Team, Human Resources, the Supervisory Board and its relevant committees;  
  • Supports the CEO and the Leadership Team in managing procedures, and other organisational processes, administration and procedures;  
  • Keeps a clear overview and timely signals obstacles;
  • Initiates, plans, prepares and organises various (internal) meetings (Food-for-thoughts, Plenaries, Stand-ups), formal as well as informal, which involves preparing agendas, managing calendars and gathering relevant information;
  • Manages internal communication, internal presentations, and posts news and events on organisational intranet;
  • Conducts reception tasks and is the first point of contact for visitors, our contacts and operational organisational matters;
  • Coordinates event-related lunches, social events and special occasions (birthdays, anniversaries etc.);
  • Manages office stock, inventories, orders and overall cleanliness of the office while also managing relationship with suppliers and service providers;
  • Book travel & accommodation arrangements and manages the necessary visas, insurances and safety and security documents needed;
  • Supports in the planning/organizing of our scheduled courses & safety trainings;
  • Manages suppliers' contracts and is the first point of contact for facility issues (such as maintenance, ICT, SIMs and subscriptions);
  • Works closely with relevant providers to ensure a reliable office environment and the ICT related onboarding and offboarding of staff members;
  • Supports colleagues with various questions and requests.  

Knowledge and experience
  • Preferably a Bachelor’s degree;
  • 3- 5 years of experience in office management and in supporting senior management;
  • Exceptional communication skills, verbal and written;
  • Eye for detail and strong organisational skills;
  • Excellent in English, working level of Dutch is a plus;
  • Excellent knowledge of Microsoft Suite, CRM is a plus;
  • Knowledge of modern archiving and documentation methods;
  • A valid working permit for the Netherlands.

At RNW Media we have a competitive Compensation & Benefits package. This position is graded in salary scale 6 (€ 2.949,84 – € 4.074,90). Your salary and placement in the scale will be dependent on experience and expertise. We offer a one-year contract, subject to renewal.
